Custom POS vs off-the-shelf: what a small business actually needs

Ask five vendors what POS you need and you will get five answers — usually the one they sell. Having built both custom enterprise POS systems and a self-serve POS product, we can afford to be honest about who needs which. Most businesses are told to buy far more than they need.

The three tiers, honestly

  • Simple POS software — billing, stock and customer records in a browser, monthly fee under Rs. 1,000. Right for the overwhelming majority of shops, salons and service businesses.
  • Off-the-shelf retail suites — terminals, barcode lanes, multi-branch sync. Right for supermarkets and chains; overkill (and over-budget) for a single shop.
  • Custom-built POS — software written around one business's workflow. Right when your process genuinely cannot bend to standard software.

When custom is genuinely worth it

A custom build earns its price when the workflow is the business: a pharmacy chain with batch-and-expiry rules tied to supplier contracts, a wholesaler whose pricing depends on customer tiers and volumes, a franchise pushing live sales to a head office in a specific format. If removing the special workflow would break the business, standard software will always chafe — that is when you commission a custom system.

When custom is an expensive mistake

Most requests we hear for "custom" are actually requests for simple: "I just want to bill customers and know my stock without the accounting jungle." A bespoke build for that costs lakhs, takes months, and then needs maintenance forever — for features that standard software delivers today. The honest answer to "can you build me a POS?" is often "you should not pay anyone to build you a POS."

The questions that decide it

  • Can you describe your special workflow in one sentence? If not, you probably do not have one.
  • Would you still want the custom feature if it cost Rs. 500,000? Real needs survive that question; nice-to-haves do not.
  • Have you run a standard system for three months first? The gaps you actually hit are the only requirements worth paying for.
